Job Description

We are seeking a highly organized and proactive individual to join our team as a Virtual Personal Secretary to the CEO. This role will primarily be virtual, with occasional in-person meetings and appointments. As the right-hand support to our CEO, you will play a critical role in managing their day-to-day activities and ensuring efficient communication and coordination with internal and external stakeholders.

Responsibilities:

  • Manage the CEO’s daily calendar, scheduling appointments, meetings, and events with efficiency and accuracy.
  • Assist in managing tasks and deliverables, ensuring deadlines are met and priorities are aligned with the CEO’s objectives.
  • Coordinate and manage meetings with internal and external stakeholders, including agenda preparation, meeting logistics, and follow-up actions.
  • Act as a liaison between the CEO and stakeholders, conveying messages, requests, and updates effectively and professionally.
  • Assist in managing the CEO’s personal day-to-day commitments, including travel arrangements, personal appointments, and errands.
  • Ensure smooth functioning of company-to-personal engagements, maintaining confidentiality and discretion at all times.
  • Provide administrative support to the organization as needed, including document preparation, data entry, and general office tasks.

Requirements:

  • Minimum experience of one year as an executive assistant, personal assistant, or secretary, preferably in a virtual setting.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
  • Strong communication skills, both written and verbal, with the ability to interact confidently with stakeholders at all levels.
  • Proficiency in virtual communication tools and platforms, as well as Microsoft Office Suite or similar software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to attend occasional in-person meetings and appointments as required.
  • Proactive problem-solving abilities and a high level of attention to detail.
