Job Description
The Job:
- Administer and maintain client systems, ensuring data accuracy and optimal functionality.
- Act as the primary contact for communications, including handling and responding to emails.
- Input and update company details, director information, and other corporate records in the client database.
- Oversee statutory compliance tasks, including tracking deadlines for lodgments and filings.
- Manage data across various systems and databases, ensuring accuracy and confidentiality.
- Prepare, proofread, and edit documents and reports.
- Maintain organized filing systems and ensure proper archival of documents.
- Accurately record and store all company secretarial documentation.
- Assist in the preparation and submission of regulatory documents and forms via client systems.
- Stay informed about changes in regulatory requirements and update the client database accordingly.
- Generate and issue accurate invoices using Xero, ensuring adherence to company policies and legal standards.
- Perform data audits to identify and correct inaccuracies, inconsistencies, and duplicates.
- Assist with data migration and integration projects involving systems.
Requirements:
- A high school diploma or equivalent, with an associate or bachelor’s degree in business administration preferred.
- 0-1 year of experience in administrative roles. Knowledge of Australian Financials & tax returns is advantageous.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management software and tools (Xero, CAS 360 is a plus).
- Strong communication, organizational, and collaboration skills.
- Ability to handle confidential information with professionalism.
