Job Description
We’re looking for a friendly and well-organized Admin & Front Desk Executive to deliver excellent customer service and provide comprehensive administrative support. This role involves managing front desk operations, handling customer inquiries, and assisting with various administrative and finance-related duties.
Administrative and Finance Duties:
- Handle inbound and outbound calls, directing them as necessary.
- Maintain a record of external visitors and ensure they are greeted, welcomed, and directed appropriately.
- Coordinate cheque handovers and manage related documentation.
- Update and request stationery stock as needed.
- Organize transport arrangements including airport travel, client visits, and day-to-day transportation. Maintain daily transportation and courier expense reports.
- Make reservations for staff (HBS reservations) and manage courier, including hand delivery notes.
- Create and update timesheets and assist with monthly invoice processing.
- Track and follow up on daily SVAT updates.
- Analyze credit card expenditures and maintain records.
- If required, conduct reference checks, arrange interviews, coordinate assessments, and enter fingerprint data during onboarding.
What We’re Looking For:
- Diploma or equivalent qualification
- 2+ years’ experience as Front Desk Executive or similar role
- Excellent communication and interpersonal skills
- Proficient in MS Office (Word, Excel, Outlook)
- Able to work independently and in a team
- Skilled at multitasking in a fast-paced environment
