Job Description

The Job:

  • Administer and maintain client systems, ensuring data accuracy and optimal functionality.
  • Act as the primary contact for communications, including handling and responding to emails.
  • Input and update company details, director information, and other corporate records in the client database.
  • Oversee statutory compliance tasks, including tracking deadlines for lodgments and filings.
  • Manage data across various systems and databases, ensuring accuracy and confidentiality.
  • Prepare, proofread, and edit documents and reports.
  • Maintain organized filing systems and ensure proper archival of documents.
  • Accurately record and store all company secretarial documentation.
  • Assist in the preparation and submission of regulatory documents and forms via client systems.
  • Stay informed about changes in regulatory requirements and update the client database accordingly.
  • Generate and issue accurate invoices using Xero, ensuring adherence to company policies and legal standards.
  • Perform data audits to identify and correct inaccuracies, inconsistencies, and duplicates.
  • Assist with data migration and integration projects involving systems.

Requirements:

  • A high school diploma or equivalent, with an associate or bachelor’s degree in business administration preferred.
  • 0-1 year of experience in administrative roles. Knowledge of Australian Financials & tax returns is advantageous.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management software and tools (Xero, CAS 360 is a plus).
  • Strong communication, organizational, and collaboration skills.
  • Ability to handle confidential information with professionalism.
